QR menu in 24 hours: from zero to working system
Do you think the implementation of a digital menu is a project for weeks? Find out how to do it in one day.
Step 1: System selection (1 hour)
What to look for:
✅ Mobile-first design - not a PDF on a phone
✅ Real-time updates - disable an item with one click
✅ Dish photos - the system must support them
✅ Kitchen integration - orders go straight to KDS
✅ No commission - you pay subscription, not percentage
You don't need:
❌ Build your own app
❌ Developers or agencies
❌ Expensive equipment
Step 2: Content preparation (2-4 hours)
What you need to have:
- List of items with prices - Excel/worksheet is enough
- Photos of dishes - even with a smartphone, but take care of the light
- Brief descriptions - 1-2 sentences, composition/allergens
- Categories - starters, main courses, drinks, desserts
Protip: Start with the TOP 20
You don't have to enter everything right away. Start with bestsellers and expand.
Step 3: System Setup (2-3 hours)
In OrderNow:
- Create an account - store name, address, logo
- Add categories - 4-6 main sections
- Enter products - name, price, description, photo
- Set tables - how many of them you have, numbering
- Set up upselling - which products fit what
Step 4: Generate QR codes (30 minutes)
The system automatically generates unique codes for each table.
What to do with the codes?
- Print stickers - laminating recommended
- Place QR stickers on tables - visible but discreet
- Backup code at the bar - for guests without a smartphone
Format and size:
- Minimum 3x3 cm (easy to scan)
- White/black contrast
- Optional: Logo of the store in the center
Step 5: Team training (1 hour)
Waiters need to know:
- How to help guests - "Please scan this code with your camera"
- Where to check orders - OrderNow panel
- How to turn off the product - when it is missing
The kitchen needs to know:
- How KDS works - tap = done
- What priorities mean - red = urgent
- Where to call in case of an issue - OrderNow support
Step 6: Soft launch (1 evening)
We recommend the first day as a "test":
- Start the system during normal hours
- Watch the flow - are orders on the way?
- Collect feedback - from guests and team
- Refine details - maybe you need to adjust descriptions, prices, or layout
Step 7: Full implementation
After 1-2 days of testing:
✅ All tables have QR codes
✅ The team is trained
✅ The system operates stably
Congratulations - you have a working QR menu!
Frequently asked questions during implementation
"What if the guest doesn't have a smartphone?"
The waiter can place an order for them in the panel.
"Does it work without Wi-Fi?"
Yes, guests use their own internet (LTE/5G).
"How much does implementation cost?"
In OrderNow: PLN 0 per implementation. You only pay the subscription.
