How to implement a QR menu in a restaurant

QR menu in 24 hours: from zero to working system

Step 1: System selection (1 hour)

What to look for:

Mobile-first design - not a PDF on a phone
Real-time updates - disable an item with one click
Dish photos - the system must support them
Kitchen integration - orders go straight to KDS
No commission - you pay subscription, not percentage

You don't need:

❌ Developers or agencies
❌ Expensive equipment

Step 2: Content preparation (2-4 hours)

What you need to have:

  1. List of items with prices - Excel/worksheet is enough
  2. Photos of dishes - even with a smartphone, but take care of the light
  3. Brief descriptions - 1-2 sentences, composition/allergens
  4. Categories - starters, main courses, drinks, desserts

Step 3: System Setup (2-3 hours)

  5. Set up upselling - which products fit what

Step 4: Generate QR codes (30 minutes)

The system automatically generates unique codes for each table.

What to do with the codes?

  1. Print stickers - laminating recommended
  2. Place QR stickers on tables - visible but discreet
  3. Backup code at the bar - for guests without a smartphone

Format and size:

  • Minimum 3x3 cm (easy to scan)
  • White/black contrast
  • Optional: Logo of the store in the center

Step 5: Team training (1 hour)

Waiters need to know:

  1. How to help guests - "Please scan this code with your camera"
  2. Where to check orders - OrderNow panel
  3. How to turn off the product - when it is missing

The kitchen needs to know:

  1. How KDS works - tap = done
  2. What priorities mean - red = urgent
  3. Where to call in case of an issue - OrderNow support

Step 6: Soft launch (1 evening)

We recommend the first day as a "test":

  1. Start the system during normal hours
  2. Watch the flow - are orders on the way?
  3. Collect feedback - from guests and team
  4. Refine details - maybe you need to adjust descriptions, prices, or layout

Step 7: Full implementation

After 1-2 days of testing:

✅ All tables have QR codes
✅ The team is trained
✅ The system operates stably
